Guidelines
The following categories of staff/student publications are eligible for support under this competitive scheme:
Category A
Publications that receive funding from the University's Central Publication Grant Scheme.
Faculty will match the contribution made by the school for successful publication applications in the central scheme, to a maximum of $1,000.

Category B
Edited collections to which at least three University of Melbourne staff have contributed chapters may be funded where the publication will be published by a DEST recognised 'commercial publisher'.
Category C
Staff-run journals with a record of improving self-sufficiency and which have refereed status as specified in the DEST Guidelines (refer Register of Refereed Journals).
Category D
Student-run journals with a record of improving self-sufficiency. Student-run journals are encouraged but not required to seek refereed status.
Category E
Major written creative works, theatre performances, media production and visual arts. Staff and postgraduate research students at the University are eligible to apply. For further details see the section on ‘Major creative works’ below.
Category F
Minor written creative works, theatre performances, media production and visual arts. Staff and postgraduate research students at the University are eligible to apply. For further details see section on ‘Minor creative works’ below.
The scheme provides a maximum of $1000 towards eligible staff and student publications in categories B, C, D, E and F (above). Schools are required to provide a matching contribution of $1000.
Eligibility and costs covered by the scheme
In the case of staff and student run journals, the grants are intended to assist with costs associated with publication (e.g., editing, printing) of original research and scholarly or creative writing. They are not available for either newsletters or serial publications distributed free of charge.
Where graduates are seeking to publish theses in either journal or monograph format, who have received funding under the University's central Publication Grant Scheme and subsequently seek further funding from the Faculty Publication Subsidy Grant Scheme, departments will be required to confer Associate status upon the applicant.
Subsidies are not normally paid to journals that pay fees to contributors.
The grants are available for journals or other scholarly publications that are produced in conjunction with other universities or academic bodies only where the applicant can demonstrate a clear and active involvement by the host department.
If the costs of infrastructure support (photocopying, computing, mail-outs etc.) are not met by the School or Centre, then these items should be included in the proposed budget.
Grants recipients will be required to submit outstanding reports to the Research & Research Training Committee for any previous publication grants. Refer to the Faculty's Report Guidelines.
Applicants to the Faculty scheme must (where eligible) show that they have made application in the first instance to the central scheme.
Established journals
Applications for established journals must be supported by a detailed financial statement for the previous three years of operation (or less, if established more recently), plus a draft budget for the issue or issues for which the grant is sought. These financial statements should include figures for income (not including the Publication Subsidy Grant) and expenditure, with a breakdown by specific task, and indicate both the print-run and actual circulation figures for the journal. Revenue is expected to provide a substantial portion of expenditure.
Applications will be expected to demonstrate an improvement on revenue-to-expenditure proportion (not including the Publication Subsidy Grant) such that over a three-year period it is projected that the journal will attain reasonable improvement in self sufficiency. Journals will be expected to aim for self-sufficiency, and once they have reached this state, will not be considered for further subsidy.
A sample copy of the journal must be submitted with the application, which will be returned once the application has been assessed.
New journals
Applications for new journals or forthcoming publications should be supported by a statement of the objectives of the journal and its contribution to scholarship and/or community debate and a draft budget for the issue or issues for which the grant is sought. The draft budget should provide quotes or estimates of income and expenditure, including a detailed breakdown by specific task and requirement, and indicate the print-run and projected sales of the journal or publication.
Journals will be expected to aim for self-sufficiency, and once they have reached this state, will not be considered for further subsidy. The Grants Sub-Committee expects income from sales and subscriptions of journals to cover a significant proportion of expenditure. The number of copies circulated by sale or subscription should account for more than half the print-run.
Major creative works
This category is used to claim for a subsidy relating to major written creative works; theatre performances; media production, and visual arts. It includes creative works that are offered for sale; published for the first time in 2005; are of at least 20 minutes in duration and are published by a commercial publisher as applicable for A1, B1 categories. This includes novels; books of poetry, books of short stories; published play or film scripts; live theatre or dance performances; recording of theatre and dance performances; film; multimedia productions or sound productions. This category is also used for an exhibition that has been staged for the first time in 2005; contains substantial collections of original work by an individual artist exhibited in a recognised gallery or museum; is accompanied by a published catalogue and advertised in the arts or state national press or in professional journals.
Evidence of the creative work (i.e. publication, programme or catalogue) must be submitted with the application, which will be returned once the application has been assessed.Minor creative works
This category is used to claim for a subsidy relating to minor written creative works; theatre performances; media production and visual arts. It includes the publication of short stories; poetry; play and film scripts with a duration of less than 20 minutes; first exhibition of artistic works by more than one exhibitor, including at least three University of Melbourne staff; first exhibition of creative work by individual exhibitor that does not meet Category E criteria; first performance of a new theatrical or dance work less than 20 minutes in duration; and, film and multimedia production less than 20 minutes in duration.
Evidence of the creative work (i.e. publication, programme or catalogue) must be submitted with the application, which will be returned once the application has been assessed.
Special requirements for central scheme matching grants (Category A)
Applicants seeking matching funding from Faculty for a Central Publication Subsidy Grant should lodge their application to Faculty once they have gained approval from the Central Publication Subsidy Grant Scheme.
Note: A full application to the Faculty scheme is not required but you must complete and submit the Faculty application form and attach a copy of the approval letter from the central scheme (including an indication of the school matching contribution).
Applicants who receive funding from the central scheme will automatically receive matching Faculty funding upon the submission of the Faculty application form and approval letter from the central scheme.
Closing dates
Category A
Requests for Faculty matching funding can be submitted to Faculty at anytime but must be submitted in the year that central grant has been awarded.

Category B – F
Applications for Category B – F will be considered once a year. Out-of-round applications will not be considered.
Applications should be submitted to Faculty by COB on Friday 18 July 2008.
Applications should be submitted to schools for endorsement by the Head one week prior to the above listed closing date
